Documents required for a business loan: a practical checklist

5 min read · October 2026 · By the Finexa Capital team

Lenders want to see three things in a business loan file: who you are, that the business is real and steady, and that it can repay. A well-organised set of documents answers all three quickly.

Key takeaways
  • Keep KYC, business proof, financials, GST and bank statements ready as one set.
  • Different loan types add their own papers, such as collateral documents or a machine quotation.
  • Clean, regular bank and GST records make the file easier for lenders to trust.
  • Your adviser confirms the exact list for the lender and product you choose.

KYC of the business and its owners

  • PAN of the business and of each owner, partner or director
  • Aadhaar or another valid identity and address proof for each owner
  • Recent photographs of owners and guarantors
  • Partnership deed, LLP agreement or company incorporation documents, as applicable

Proof that the business exists and is running

  • GST registration certificate
  • Udyam registration, shop and establishment licence or trade licence
  • Proof of the business address, such as a rent agreement or utility bill
  • Proof of how long the business has been operating, since many lenders prefer a track record of a year or more

Financial documents

  • Income tax returns for the last two to three years, with computation of income
  • Balance sheet and profit and loss statement, ideally CA-certified
  • GST returns for the last twelve months or more
  • Statement of existing loans and EMIs, including sanction letters

Bank statements

Lenders usually ask for twelve months of statements for the main business account, and sometimes for personal accounts too. They look at the regularity of inflows, the average balance, cheque returns and how the account is used.

Keeping most business receipts and payments in the business account, and avoiding unexplained transfers, makes your statements easier to read.

Extra papers for specific loans

  • Secured loans: ownership and title documents, valuation papers and tax receipts for the property offered as security
  • Machinery loans: the machine quotation or invoice from the supplier, and details of the margin you will bring
  • Invoice discounting: copies of the invoices and details of the buyers
  • Working capital: stock statements and a list of receivables, when the lender asks for them

Tips for a smoother file

  • File GST returns and income tax returns on time, since gaps are noticed.
  • Reconcile your books with your bank statements before you apply.
  • Check the credit scores of the business and owners and clear any overdue accounts.
  • Apply for the amount you actually need. A request that fits your turnover and cash flow is easier to support.
  • Respond quickly to the lender's queries, because delays on your side add to the timeline.
